Videoconferencing Pre Meeting Checklist
Have you booked the room and equipment at all sites involved?
Have you booked ‘set up’ time to arrange the room as is needed and
set any presets in the camera?
Have you confirmed all attendees are available at the date/time
booked?
Have you arranged refreshments (if required)?
Is the room arranged appropriately for your meeting?
Have you set your camera presets according to the needs of the
meeting?
o Preset 1 (P1) – set to full room view
o Preset 2 (P2) – for first presenter or group of people
o Preset 3 (P3) – set to next ‘group’ or individual who will present.
Is the microphone positioned correctly and clear of papers/objects?
Have you circulated any printed material that you will be discussing to
the other attendees?
Do you need a laptop connection to display live PC images? If so, has
this been connected and checked to ensure it is working?
If using a laptop, bring your power pack with you!
Have you agreed which site is making the call?
Once connected, have you done a sound and vision check with the
site(s) involved?

Turning the System on
Ensure the power supply is plugged into the mains and the system is turned on. .
If the system does not respond, make sure the system is switched on by using the On/Off switch located
at the rear of the system.
After a few seconds you will see the ‘Main Menu’ on the screen
If the menu doesn’t appear, it can be brought onto the screen by simply pressing menu, located in the centre
of the direction keys. To remove the welcome menu press cancel. Pressing the selfview button will bring up
an image of yourself.
Standby Mode
On the welcome screen going to the standby option gives you four options
1. Delay standby for 1 hour
2. Delay standby for 3 hours
3. Do Not Disturb
4. Standby Now
By selecting one of these options, it will delay the standby message for the duration you have selected.
If the system is left for a long period of time without any activity it will automatically go into standby mode.
Any type of standby can be interupted by the lifting of the remote control.
An incoming call will also ‘wake up’ the system.
Moving the Camera
Select Move Camera on the Main Menu.
Select Near End or Far End on the Sub Menu.
Move Camera as directed by the arrows by pressing the arrow
button
.
Zoom in or out by pressing the
button.

Storing a pre-set
Moving the camera between people can be slow. Alternatively, you can pre-set camera views and move
between them.
To set a new preset, press and hold the number key you want that particular camera position to be set at.
It is possible to set upto 14 preset camera positions which you can toggle between during a call.
To move to a particular preset during a call press and release that number key to activate your desired
camera position.
Far end camera control (only available in call and if far end system allows)
Whilst in a call, press the menu button and select the move camera
icon. Press the up arrow and the Near End ‘tab’ will be highlighted in
orange.
Press the right arrow and the highlight will move to the Far End ‘tab’.
You can now select the camera control icon and you will be able to
control the far end’s camera (pan/tilt/zoom) and utilise their pre-sets in
the same way as you would when controlling the Near End camera.
To switch back to the Near End camera, select the near end tab using
the same method .
Adjusting the Volume
To adjust the volume in a call, use the key. Try to keep the volume level at between
10 and 12 to avoid echo and feedback.
The position of the mic may well be affecting the volume of the call as it may be too close or too far away
from the people in the meeting.
To turn off your microphone, press the mic off key

Making a video call - manually
To make a call, choose ‘Make a Call’ from the main menu. Enter the number manually in the input field
and press the green connect key or choose ‘place video call’.
Making a video call – from the phonebook
Press the
button or select it from the screen above. Choose the location you would like to call
using the arrow keys and select the ‘Call Now’ option and press OK or the green call button on the
remote control.

Ending a call
1. Press the
key on the remote control or End Call from the
main menu.
2. Press the red key on the remote control again or OK to confirm that you
want to end the call
Editing the directory
Select the book icon to select the phone
book. Select the New button to make a new
contact. You can store up to 200 contacts in
your local phone book. To make a new
contact, you must specify a Name and
Number. Use the number and letter keys on
the remote control (in the Name field you will
automatically write letters, in the number field
you will automatically write numbers).
Call Type, Network, Bandwidth and Restrict
(56k) are put to default if you don’t make
changes.
Press OK to save.
Receiving a call
To accept an incoming call, press OK or the green key on the remote control.
Press the red key on the remote control to reject the incoming call.
If you do not want any incoming calls, choose Do Not Disturb (see standby section) If Do Not Disturb is
on, the system will automatically reject all incoming calls.
If Auto Answer is set to on, an incoming call will connect automatically.
The system may also have been set to mute the local microphone automatically for security reasons.

Connecting your PC
During a videoconference you can send information from a PC to the far end. This can be done in two ways:-
Option 1 - The information can be sent INSTEAD of your own image or
Option 2 - The information can be sent AS WELL as your image.
The first option is done by switching the Main Video source between main cam and PC. The second option is
done by adding the PC information into the call at the same time – this is known as Duo Video.
Remember to first test your PC is connected properly by connecting your PC to the codec using the VGA
cable provided as shown in the diagram below:-

If the PC images does not automatically appear you may then have one of two messages appear.
“PC Not Connected” – if this message appears:-
you will need to find the key marked "FUNCTION" or FN (usually on the lower left corner of the
keyboard).
Then, search for a key that has either the letters "LCD/CRT" or a little monitor icon. Most often, it will be
in the top row of keys marked F1 through F12, but not always.
When you have both keys located, press the FUNCTION key and then the LCD/CRT key that you located
before. It might take a couple of seconds for the computer to react. This should toggle the screen image
through a cycle like this: a) Image on Laptop Screen b) Image on Display Screen c) Image on Both.
“Unsupported video format” – if this message appears:-
Set your laptop or desktop computer to 1024x768 or less
How do you know what resolution you're using? PC Windows 95 and above:
Start>Control Panels>Display>Settings Tab. On the right, you'll see the current resolution setting and a slider
to change it.

Option 1:- Sending an image of you OR your PC
Press the button from the main menu- this will present a list for you to choose from (see below).
Press the Main Video button to change Main Video source and choose from the list presented. This will
normally be the PC option. Press OK and use the layout button to confirm that they can see your PC
information.
Repeat the process but select main cam to stop sending your PC.
Option 2 – Sending an image of you and your PC (Duo Video)
Remember to connect your PC to the codec.
Bring up the menus as above.
Press the up arrow and then move across to Duo Video
Press the down arrow and select your source.
Press Enter, then move across and press close.
Note that Start Presentation is only available when you are
in a call and the video systems support Duo Video or H.329.
Press the blue button marked presentation on your
remote control to start sending your PC image.
Press the blue button again to stop sending the PC image.

Multisite calls.
Making a multisite call (manually)
Press the green key on the remote or choose Make a Call from the Main Menu to open the Call
Menu.
Choose Add Video Call from the menu line. An extra number field appears. Press the Add button
until you have the desired number of participants (press Cancel inside an empty input field to delete
the field).
Dial Numbers with the number keys.
Press Make Video Call to start the videoconference.
How to end a multipoint call
Press the red key on the remote control or End Call from the main menu.
A list of participants appears allowing you to end each separate call. Select a participant and press
OK or the red key.
Press End All Calls if you want to end the whole conference.
Multipoint calls can be predefined in the phonebook to make the connection process quicker and easier – just
follow the steps for adding a new entry but select ‘Multipoint’ instead.
