Chapter 1 General Description
1General Description
User Authentication
The User Authentication is a function to use devices under the management of a Windows
®
server.
Users must be authenticated before using the functions of the machine (copying, faxing, scanning, and
printing). The supported authentication protocol is NTLM v2 and Kerberos v5.
Users
Users log in to the device using their Windows account (user name and password).
System administrator
The system administrator can manage user accounts by using the Windows server.
User authentication can be set independently for each function (copying, faxing, scanning, and
printing).
The Job Tracking function allows the system administrator to receive the machine usage log and the
send/receive log via Email. The Email sent to the system administrator includes the name of the device
user, destination, communication time, and the image of the document that was sent or received.
z NTLM authentication is a user authentication protocol used in the Windows NT
®*4
family of operating systems.
NTLM uses a challenge/response method, and the password is encrypted when sending across the network. In
Windows 2000, this protocol can also be used to maintain compatibility between client and server.
Kerberos is a user authentication protocol that enhances the security by using cryptosystem.

Chapter 1 General Description
Job Tracking
The following jobs can be tracked with this function.
1. Fax Transmission and Reception via PSTN
2. Email Transmission to an Internet Fax or a PC
3. Reception from an Internet Fax or a PC
z When the Job Tracking function is enabled, the following functions are not available.
- On-Hook Dialling
- Fax Forward
For details, refer to the Operating Instructions (For Facsimile and Internet Fax) of provided CD-ROM.
z If the system administrator cannot receive the Job Tracking logs, check both the network settings and the
connection of the LAN cable.

Chapter 1 General Description
RightFax Server
By enabling the RightFax
®
Server function, all faxes are sent via the RightFax server. All the Fax logs
can be easily managed by a single server.
When using it with the User Authentication function, it will increase the security by controlling the usage
and identifying the users.
The fax document to be sent is passed to the RightFax server via Email.
A user who sends a fax from a device can receive a send confirmation report on the PC from the
RightFax server.
z When the RightFax function is enabled, the following functions are not available.
- Password Transmission
- Deferred Polling
- Sub-Address Transmission
- LAN Relay Transmission
-Polling
- Fax Cover Sheet
- Direct Transmission
The document(s) is always stored into memory when sending the document(s).

Login Procedure (Using Copy/Fax/Scanner/
Printer)
Users must enter the login name and password before using any devices which have the User
Authentication function enabled. Authentication is performed using the user’s Windows account.
z When using the User Authentication for the first time, refer to Setting Machine (See pages 12 to 28).
z The system administrator should set up the User Authentication function.

Authentication is enabled.
z User Authentication can be set

If User Authentication is disabled for the
function, the Control Panel displays the
standby message.
The login screen appears only when a
function that requires authentication is
selected.

Select “User ID”, and enter your user
name (up to 40 characters), and then
select “OK”.
The user name is NOT case-sensitive.
Ex: panauser

Select “Password”, and enter your
password (up to 40 characters), and
then select “OK”.
The password is case-sensitive.

Select “Domain”, and confirm the
domain name, and then select “OK”.
Ex: pana01

Select “OK” to start the authentication
process.

This completes the authentication.
After completing the authentication, you can
use the selected function (copying, faxing,
scanning, or printing).
z Press the Reset key twice to log out from
the authentication.
z If the authentication fails, one of the following
messages will appear.
z Authentication is cancelled if no operation is
performed on the machine within a certain period
of time after authentication is completed. In this
case, you need to perform User Authentication
again before using the machine. The system
administrator can specify the ID Timeout Period.
For details, refer to ID Timeout Setting (see page
17) and Auto Reset Time Setting (see page 19).
z The system administrator can specify whether
authentication is required independently for each
function (copying, faxing, scanning, and printing).
For details, refer to Authentication Setting (see
page 12).

Sending a Document via RightFax
When the RightFax server is used to send a fax, the following details are entered in the recipient (To)
field and sender (From) field.
z Using the RightFax function requires the configuration of RightFax server. Refer to RightFax Server Setting
(see page 27).

z When “137 Re-enter Direct Dial” is set to
Valid” in Function Parameters (Fax/Email
Settings > Fax Parameters), enter the fax
number twice for manual dialling. For more
details, refer to Fax/Email Settings in the
Operating Instructions (For Function
Parameters) of provided CD-ROM.

z Whether User Authentication through
Windows server can be used or not
depends on the settings of the machine.
z Because of the direct connection of PSTN to
the machine, getting outside calls is
possible.
However, manual communications are
prohibited.
z Password transmission is not available if the
RightFax server setting is set to “Valid”.

ID Timeout Setting
If the ID Timeout setting is set to “Auto Rst”, authentication is cancelled if no operation is performed on
the machine for a specified time period after performing authentication. The ID Timeout period can be
set in Auto Reset Time Setting on page 19.
z Before performing this setup, you first need to set “45 User Authentication” (See page 12).
