Polycom VVX 400 is a versatile business phone designed to enhance your communication experience. With its user-friendly interface, you can easily make and receive calls, transfer and conference calls, and even initiate Meet Now conferences. The VVX 400 also allows you to forward calls to a contact or voicemail, disable call forwarding, and add contacts from your Skype for Business client or manually.

The VVX 400 also allows you to forward calls to a contact or voicemail, disable call forwarding, and add contacts from your Skype for Business client or manually.

Make a Call
1 Li the handset, or press the New Call buon,
or press the Speakerphone buon, or press the
Headset buon if using a headset. Then:
• Dial the number with area code using the
keypad; OR
• If the person you are calling is in your contacts,
press the Contacts buon, use the direconal
pad to highlight the contact, press Dial; OR
• If the person you are calling is one of your
Lines, press Lines then press the buon on the
side associated with the Line you are calling.
Answer a Call and End a Call
1 To answer, Li the handset, or press Answer,
or press the Speakerphone buon, or press the
Headset buon if using a headset.
2 To end a call, hang up the handset, or
press End Call. If on speakerphone, press the
Speakerphone buon. If using a headset, you can
press the Headset buon.
Hold a Call (and Retrieve from Hold)
1 Press Hold to place the call on hold.
2 Press Resume to return to the call.
Transfer a Call - Blind (Default)
1 Press Transfer (you will hear a dial tone, the
other party will hear hold music). Then:
• To transfer to a phone number or to a person
you have called recently, dial the number
using the keypad, or use the direconal pad to
highlight the number of a recent call on your
display, press Send. The call will transfer and
release your phone; OR
To transfer a call to a user on your contacts
list, press More, press Contacts, highlight the
contact using the direconal pad, press Dial.
The call will transfer and release your phone;
OR
To transfer a call to a Line appearing on your
phone, press Lines, then press the buon on
the side next to the associated Line. The call
will transfer and release your phone.
Press the « buon to delete a character, or press
Cancel to return to the call.
Transfer a Call - Consultave
1 Press Transfer (you will hear a dial tone, the
other party will hear hold music).
2 Press More, then press Consultave.
3 Follow the previous secons’ bullet points to
transfer the call appropriately.
Conference Call (Add User to a Call)
1 While on a call, press More, then Confrnc.
2 Enter a number, or select a user from your
Lines, or from your Contacts.
Your most recent calls will appear in the rst
window. Use the direconal pad to highlight
one, then press Dial.
• To add a Line, press the Lines buon, then
press the buon next to the associated Line.
• For users that are in your Contacts list, press
More, then press Contacts. Use the direconal
pad to highlight the Contact that you want to
add to the conference, then press Dial.
Conference Call (Iniate from Idle Phone)
1 Press Meet Now with the handset on-hook.
Then, either take the handset o-hook or press
the Speakerphone or Headset buon.
2 When the display changes, press the Invite
buon.
• If the person you are inving is a recent
call, they will show in the display and can
be selected by using the direconal pad to
highlight the entry, then press Dial.
• If the person you are inving is in your
Contacts, press More, press Contacts, and use
the direconal pad to highlight the contact you
wish to add to the conference, then press Dial.

Forward Calls
To forward incoming calls to a contact:
1 Press Forward, then use the direconal pad
to highlight “Forward to a Contact”, then press
Select.
2 Enter your contact’s number using the keypad
and press More, then press OK.
• If you want to forward calls to someone on
your Contacts list, aer pressing “Forward to a
Contact”, press More, press Contacts, highlight a
contact by using the direconal pad, then press
Forward.
To forward incoming calls to voicemail:
1 Press Forward, highlight “Forward to
Voicemail” using the direconal pad, press Select.
Disable Call Forwarding
1 Press Forward, highlight “Disable Call
forwarding” using the direconal pad, press
Select.
Add Contacts
To add contacts to your phone:
1 Press More, press Contacts, press More, press
Add.
2 Enter your contact’s email address and press
Submit.
Text is entered using mulple key presses to get the
character associated with each key on the dial-pad.
Timing is the trick — if you wait too long between
buon presses on the same key (to advance to
the next character on that key), it will enter two
characters. Press the « buon to backspace. To enter
successive characters from the same key, wait a
second for the rst character to take before pressing
the key again, or press right on the direconal pad
to advance to the next character quickly.
Tip: For email addresses and URLs, the “@” and “.
(as in [email protected]om) is on the * key on the dialpad.
To add a phone number to your Contacts:
1 Press Mode.
2 Press the down arrow on the direconal
pad. This will bring up a window that idenes
“URL” and “Tel”. “URL” is the default and will be
checked. Pressing the down arrow will highlight
“Tel”.
3 Press the center buon of the direconal pad
(or select OK). This will change the entry mode
from “URL” (email) to “Tel” (numeric).
4 Enter the phone number including the area
code from the keypad and press Submit.
To add contacts from the Skype for Business
client (will automacally populate to your phone):
1 On the Skype for Business client Contacts
view, in the “Search” bar at the top of the client
type the Name, Email Address, Skype Name and
Locaon, or Phone Number.
2 Skype for Business will search the directory
and show one or more matches. Right click the
contact you want to add.
A drop down will show the possible acons.
ClickAdd to Contacts List”.
• The drop down will show the possible groups
in your contacts. Click on the group and the
contact will be placed in that group. If you have
not yet created the group for a contact, Select
“Other Contacts” as the group, and you can move
the contact later.
3 To Add a New Group, click the icon
below the magnifying glass on the upper right of
the Skype for Business client.
• The drop down will show opons. Click
“Create a New Group, name it, and hit Enter.
• Move a contact in any group to any other
group by right clicking on the contact, click
“Move Contact To” and in the drop down, then
click the group name you wish to add the contact
to.
