A Polycom IP Phone is a full-feature telephone that provides
voice communication over an IP (Internet Protocol) network. This
phone functions much like a traditional phone, allowing you to
place and receive telephone calls. It also supports features that
you have come to expect from a telephone - such as speed dial-
ing, redial, and conference calling.

Allows you to place and receive calls through an optionally connected head-
set.

Allows for hands-free communication during calls.
7 Hands - free microphone Picks up audio during hands-free calls. Place your phone on a hard, flat sur-

Hold

Tips for using your Polycom
Making a call
Press New Call and enter the number or enter the
number and press Dial from the softkey.
Holding a call
Press the Hold key.
Return to a held call
Press the Resume softkey.
Transfer – Announced
Press the Transfer softkey. Enter the destination
extension and press Send. Announce the call to the
receiving party and press Transfer again.
Transfer – Blind
Press the Transfer softkey followed by the Blind key,
dial extn number, press Dial to complete the trans-
fer.
Conference
Establish the first call, press the Conf softkey, enter
the telephone number of the 2nd party, Press Dial.
To connect all 3 parties press the Conf softkey again.
Call Forward
To divert your telephone temporarily to another
extension, press the Fwd softkey in the telephone
display. Enter the destination number and press En-
able to confirm.
Do Not Disturb
To place your phone in Do Not Disturb.
Press the DND button on the side of your handset.
To disable: Press the DND button again.
To Disable: Press the Fwd softkey followed by Dis-
able.
Call Lists (Missed, received or placed calls)
Press the Menu key, select Features followed by Call
Lists. You may now select Missed, Received or Placed
calls as desired
Choose:
1. Edit to amend the dial string if necessary.
2. Dial to return the call.
3. Exit to return to the previous menu.
4. Info to view information about the call.
5. Save to store the contact to the Contact Direc-
tory.
6. Clear to delete the call from the list.
7. Exit softkey to return to the idle display.
To quickly view the Missed Calls list from the idle
display press
Personal contacts
Press Menu key, select features followed by Call List.
Press Add to enter new contact.(200 personal con-
tacts maybe stored)
Dialling Personal contacts
Go to Contact List press Search, using the keypad
enter the first few letters and press Search, you can
dial using the softkeys.
Speed dials
From your Contact List, select Edit entry and enter
Speed Dial Entry and save it to a number.
To Dial Speed dials
Speed dial entries can be viewed from the idle dis-
play by pressing or allowing you to
scroll through the list.

Menu Instructions
Sub-menu Description
Status Users can check the status of the phone: IP address, MAC, firmware etc
Features It includes some call feature settings, such as forward, call waiting, DSS keys, key as
send, hotline, anonymous call, auto redial, DNS etc.
Settings it includes the basic phone settings like language, time and date, ring tone, phone vol-
ume and some advanced settings like accounts, network, keypad lock, reset factory, set
password, set AES key etc.
Messages It allows the users to check the voicemail on the server
History You can check the call history here: all calls, dial calls, received calls, missed calls and
forward calls
Directory It shows contact of the phone

Operating Instructions
1. If the WAN (wide area network) connection fails to a site for any reason, including a fault on the circuit
or a power cut, then the ability to make and receive calls from the IP phones utilising that WAN circuit
will be restricted. These failures may be caused for reasons outside our control. Other services will be
fully maintained including voice mail and the ability to divert calls to other numbers including mobiles.
If another working WAN circuit is available at that site then this can be used to fully restore service to
all phones.
2. This service allows for calls to 999 and 112, however these services will be affected if there is a power
cut or your WAN circuit fails
3. With regard 999 services no location information is passed to the emergency services operator this will
mean that you will have to state the address that you wish the emergency service to attend.
4. We do not offer a paper based telephone directory service
5. If you require a PDF that allows you to print off stickers to attach to the phone device explaining the
above please contact us.
