Section 1 ~ Introduction to the Polycom VVX410
The Polycom VVX410 is a business class IP phone, this means that it uses VoIP technology to make and receive
telephone calls. To accomplish this the call is converted to a digital format and sent across the internet.

Here is an overview of the buttons on the phone. The Line keys and Soft keys are customizable to fit your needs.
Typically, the line keys are used for a directory and the soft keys are functional in nature, common soft keys are Park,
2Vmial, Transfer, Hold, DND, Conference, Intercom, and Page. These keys and what they do will be explained further in
this guide.

Here is a view of the bottom of your phones. The most important cable when troubleshooting an issue is the AC power
connection, unplugging this cable from the phone and plugging it back in after a few seconds is called powercycleing.
This is the first thing to try if a phone is malfunctioning, if this does not fix the issue please call us. If you are having audio
issues check to make sure that the Handset cable is plugged all the way in.

Section 2 ~ Making a Call
Making a call is the most essential function of the phone, the most obvious way is to pick up the handset, dial a
telephone number, then press dial. You can also simply press the speakerphone button then dial the number to make a
call on speakerphone. If you want to call someone listed on a line key, simply press the corresponding button to initiate
the call. During a call if you would like to mute your microphone press the Mute button, the button itself will turn red
indicating that you are muted.

Section 3 ~ Ending a Call
There are likewise several options when ending a call, most of which will be described in further detail later in the guide.
The easiest way is to simply hang the handset up or push the speakerphone button if you are using speakerphone. You
can also transfer the call, transfer to voicemail, park the call, or use traditional hold.

Section 4 ~ Call Park
Call Park is a feature that is extremely useful in any business setting. Park works the same a hold, except that when a call
is parked the call is sent to a parking queue, they are named Line 1, Line 2 etc...
These lines will usually take up the first spots on the left side of your directory. When a call is parked the light next to the
line that the call is parked at will illuminate red on every phone in your domain. Anyone in your domain, the people
within your office, can pick the parked call up.
The Park key is a soft key and will only appear during a call. You can also use the traditional hold that appears during a
call, but this will only allow you to retrieve the call from that phone.

Section 5 ~ Transferring a Call
During a call if you wish to transfer the call to someone else you start by pushing the Transfer soft key. After pressing
that key it will allow you to dial the extension or number that you wish to transfer to, it will also have a button that says
lines. When you press the lines button it will bring back your home screen so you can transfer to one of those extensions
by pressing the line key associated with it. Once you select an extension and press send it will call that extension or
number. When the other party answers you can tell them who is calling and then press transfer again to complete the
transfer. If you immediately press transfer after pressing send or hang up it will blind transfer the caller over.
There is also an optional soft key called 2Vmail, if that option is available it will show up during a call as a soft key and
give you the ability to transfer a call directly to an extensions voicemail. Simply press the 2Vmail button and follow the
onscreen instructions. (Enter *9+extension)

Section 6 ~ Conferencing
You can create a three-way conference call by pressing the Conference soft key during a call. During a call press the
Conference button, just like a transfer the caller will be placed on hold while you dial the extension or number that you
wish to start a conference with, once that person answers just push the conference button again to bring the first caller
into the conversation.

Section 7 ~ Paging and Intercom
Paging and Intercom are two optional soft keys that can improve the efficiency and communication of your business.
Paging allows you to send burst audio to every phone that has paging enabled, all of these phones will auto-answer on
speakerphone and whatever you say will be broadcast.
Intercom is similar, it allows you to call a specific extension and have their phone auto-answer on speakerphone. Both
of these are soft keys and can be added to your phones upon request.

Section 8 ~ Menu, DND, and Other Useful Functions
Although we have talked about many buttons and functions within the phone there are several others. One not shown
in this image is a soft key labeled DND, or Do Not Disturb. This is an important button as if it is enabled your phone will
not ring, while DND is enabled the small image of a phone in the upper right corner of your phones display will show a
red negative sign.
On the left side of the dial pad are the Transfer, Messages, and Hold buttons. The Transfer button works exactly like the
Transfer soft key. Messages is quickest way to access your voicemail box. Hold also works exactly the same as the Hold
soft key. On the right side of the dial pad is the Mute key, this will mute your mic during a call. The Volume keys will
allow you to increase or decrease the volume of a call. If there is a red light blinking on the top right side of the phone it
is letting you know that you have a voicemail.
The Navigation Keys allow you to reach different sets of calls, if you press UP it will take you to a list of your favorites,
entries in your directory that you have marked, pressing Right will take you to Placed Calls, pressing Down will take you
to Missed calls, finally pressing Left will take you to Received calls. The key with a small house on it is your Home key,
this will bring you back to the main screen if you are navigating the menu.

Section 9 ~ Voicemail
To access your Voicemail, push the messages button on the left side of the dial pad (You can also access the voicemail by
dialing 5001). You will be prompted to enter your password followed by the pound sign, the default password is
8675309 but can be changed upon request.
The first time that you access your voicemail box it will ask you to record your name and greeting. The name is only
important if you are using a company directory that is searchable by the name, the greeting is what a caller will actually
hear when he or she gets your voicemail. After doing that you will be sent to the voicemail menu where you can listen,
save, or delete messages along with being able to change your greeting.

Section 10 ~ Troubleshooting
As I earlier explained on page 5, if the phone is acting up the first troubleshooting step to try is turning the phone over
and unplugging the AC power cord from it, all of the lights on the phone will go off. Once this happens wait a few
seconds then plug the power back in, after a couple minutes if the phone fails to come back online or the problem still
persists please call us so we can open a ticket and get it fixed.
If we call and ask for the IP of a phone, you can find this by pressing the Home button to get to the main menu, then
select settings status network TCP/IP Parameters, the IPv4 Address is the one we need.
Example: 192.168.11.214
Star Codes:
You have star codes to activate and deactivate your after-hours auto attendants. To use a star code, dial the star code
and then press the dial soft key, you will hear an audio response announcing the action taken.
To forward your phone to another number Dial *30 then the number you wish to forward to. (ex: *308179019156)
To un-forward you phone Dial *31.
