About the Polycom PRS 2000
The Polycom PRS 2000 (PRS) 2000 is a powerful presentation recording
integrated hardware and software appliance that will enhance the
effectiveness and reach of any educational, corporate, or public event
communication by capturing and streaming real-time rich media
presentations with DVD quality video and high fidelity sound.
The PRS appliance is ideal for use by enterprises, educational institutions,
government, and training institutions.
NOTE: Polycom strongly recommends upgrading to the latest version of the PRS
2000 software, as well as other elements of the PRS solution, prior to entering a
production environment.
This chapter outlines necessary initial appliance configuration, but further software
updates may be needed. Please consult Polycom Global Services for more
information.

Organizations can deploy the PRS appliance in meeting and conference rooms
or bring it to off-site events to record and stream live and on demand executive
briefings, training sessions, product demonstrations, global announcements,
marketing communications, and more.
The PRS appliance accepts and synchronizes feeds from any A/V equipment
available, including microphones, cameras, VCR/DVD players, document
cameras, and other video conferencing equipment.
The appliance can capture a computer screen output as a video stream,
allowing the presenter to demonstrate any application on their computer.
Unique to the PRS appliance is its ability to perform text recognition on the
RGB source for automatic text extraction and slide detection.

Safety Instructions
System Power
When the PRS appliance is turned off by using the power switch, power may
still be supplied to the motherboard. To ensure that the appliance is
completely shut down, unplug its power cord from its power source.
The PRS appliance ships with all required components installed. There is no
need to open the chassis to add or remove components. Please contact
Polycom regarding any malfunction or failure of the PRS appliance.

Electrostatic Discharge (ESD) and ESD Protection
Static electricity can damage disk drives, boards, and other components.
Before connecting or disconnecting any device to the PRS appliance, we
recommend you discharge static electricity by first touching a metal part of a
grounded PC.

Do not use or expose the PRS appliance around magnetic fields as
magnetic interference may affect the performance of the device.

Audio/Video Inputs and Outputs
The A/V adapter cable is used to connect audio and video input sources to the
PRS appliance and audio output from the appliance. Each cable of the A/V
adapter is labeled. These labels identify the video and audio sources for proper
connection of devices to the appliance.
Connect the A/V adapter cable to the upper slot bracket connector.
VGA (RGB) Input
A cable is used to connect to the VGA output of an additional computer (i.e.
presenter's laptop). The splitter cable separates the analog RGB and digital
DVI interface signals. This separation improves monitor detection.
Connect the VGA input cable to the lower slot bracket connector.
Video Output
The Polycom PRS 2000 video card includes three outputs: one DVI-I output,
one HDMI output, and one VGA output. All of these outputs are live when the
appliance is shipped. Any two of the outputs can be used.
NOTE: The PRS appliance uses an nVidia graphics card. When two video output
devices are in use, the nVidia graphics card must be set to DualView in order to
display the audience view. If it is set to Span, Clone or Single display, the audience
view will not be displayed in the second VGA output device.
The PRS application has a mechanism for swapping the assignment of the devices.
Using the top menu strip item "View- Swap Screens" can trigger this mechanism.
This feature should be used when your operator VGA output device is displaying
the audience view and your audience VGA output device is displaying the Operator
Interface.

Audio Monitor/Output
If you want to use headphones, connect them on the front of the PRS
appliance.
Audio Out for Room Sound System
The Audio output of the PRS appliance can be used to connect to the room
sound system or to a PC speaker set. The A/V adapter cable provides a
balanced line-level stereo audio out signal (Audio R Out, Audio L Out) via
XLR connectors. Standard adapter/cables can be used to interface to
unbalanced line-level Audio input of the room sound system or to a PC
speaker set.

These devices are shipped in their original packaging, manual and installation
instructions. For more information and installation instructions, please follow
the original manufacturer documentation.
Mouse and Keyboard
Use the USB ports when connecting the mouse and the keyboard to the PRS
appliance.
NOTE: The frame rate of the audience view is 15 fps due to the fact that this is the
output of the RGB source that has been processed. A VGA splitter can be used to
connect the VGA source to the RGB capture card and to the projector to provide the
full frame rate to the audience view.

Phantom Power Microphone
Use a professional balanced audio cable (XLR male and XLR female) to
connect the microphone to the "Audio 1 IN (MIC)" input of the A/V adapter
cable. It is not necessary to use the microphone with a battery; the PRS
appliance will apply a 48V Phantom Power Supply to the microphone by
default.
Camera
Using Video Cameras
The PRS appliance supports connection of multiple S-Video and composite
video sources. When connecting a camera to the PRS appliance, s-video is
recommended if you have a choice.
When using the S-Video output, connect the camera to the "S-Video 1 IN" or
"S-Video 2 IN" input. When using the composite output, connect the camera to
one of the four video inputs "Video 3 IN" to "Video 6 IN" of the A/V adapter
cable.
Using a PTZ Camera
A PTZ (Pan-Tilt-Zoom) camera is an optional camera accessory for the PRS
appliance. It provides S-Video and composite video outputs. We recommend
using the S-Video output for best video quality.
When using the S-Video output, connect the camera to the "S-Video 1 IN" or
"S-Video 2 IN" input. When using the composite output, connect the camera to
one of the video inputs "Video 3 IN" to "Video 6 IN" of the A/V adapter cable.
The PTZ control feature requires an additional cable connection from the
camera (VISCA IN) to the serial port (COM1) provided by the USB to serial
adapter when connected to the PRS appliance (the drivers for the USB to serial
adapter are preinstalled). Up to 3 PTZ cameras can be controlled over a single
COM port when using a VISCA daisy chain.
The address of each camera is assigned during the VISCA initialization
process. The camera addresses are 1, 2, 3, and so forth in order, starting from
the one nearest the PRS COM port. The VISCA address is used during the PRS

installation setup to identify and address each PTZ camera. Further
information reading the VISCA protocol and the camera installation can be
found in the camera manual.
Starting the PRS Appliance
First Windows Start
After Windows starts, your appliance is ready to be used. We highly
recommend, however, that you first do the following:
Install all available Microsoft updates through Windows Updates
Install all available PRS updates.
NOTE: Do not install any hardware updates if Windows prompts you to do so. All
required hardware updates and drivers are installed with the PRS updates.

Administrator Credentials
The administrator credentials are username Administrator, password
Polycom123.
Hardware Configuration Console
The Polycom PRS 2000 includes a tool to assist in the configuration of the
hardware controlled by the appliance. To access the Hardware Configuration
Console, click the shortcut on the desktop or navigate to Start > Polycom >
Hardware Configuration Console.
The following instructions refer only to renaming the inputs as displayed in
the Polycom PRS 2000 interface. If you wish to perform more advanced
configuration, please review your hardware documentation and consult
Polycom Support.
To rename hardware inputs:
1 Launch the Hardware Configuration Console. The console root will
appear.
NOTE: If you plan to use the PRS appliance in a language other than English, you
must change the language in the Windows Control Panel's Regional and Language
Options. If you do not, the OCR (Optical Characters Recognition) will be only
available for English.

2 Click on any given input name on the righthand side. Alternatively,
right-click and select Rename from the menu that appears.
3 After entering your new name, click outside the input name field.
The input should now appear under its new name in the Polycom PRS
2000 interface.

Getting Started
After the PRS hardware is configured, you can begin creating mixes for your
recordings. Launch the PRS Operator Interface by double-clicking the PRS
shortcut on your Windows desktop.
Using the Session Properties
The PRS Operator Interface will launch and the Session Properties window
will appear. The Session Properties window includes tabs for Metadata,
Inputs, and Outputs.

Metadata
Metadata is the information about a PRS configuration. It contains information
describing a session's Title, Author, Copyright, Rating, Credits, Description
and Keywords. Metadata is used to facilitate the understanding,
characteristics, and management usage of data.
Inputs
Any audio and video input devices connected to PRS appliance are detected
and displayed under the Inputs tab. Some typical inputs include:

DVD Player
Document Camera
By checking the devices under the Use column, selected devices will appear in
the PRS Operator Interface as available inputs that can be captured in a
presentation.
