FUNCTIONS
DESCRIPTION
Internal Calls
To Dial an Internal call just dial the Extension number you
required.
External Calls
To make an External call lift the handset or press speaker
key dial 9 and dial the required number, then Press # put
your pin code (5 digits).
Answer a Call
When a call arrives at your 1608 telephone, you
hear a ringing tone and a blinking bell icon appears
on the associated call appearance.
To Answer a incoming call
If you are not active on another call, answer the call using
your handset, headset, or speakerphone
If you are active on a call already, place the active call on
hold and then answer the incoming call
Transfer
The transfer feature allows you to transfer a call
from your telephone to another extension.
To Transfer the current call to another extension
While on a call, press Transfer key
When you hear the dial tone, dial the number to which the
call is to be transferred.
To transfer the call without announcing it, hang up.
Display shows the transfer is complete.
To announce the call before transferring it, wait for the
called party to answer.
When the called party answers, announce the call. (If the
line is busy or if there is no answer, press Appearance
key Then, you can return to the held call by pressing its
call appearance button.)
Redial
The Redial (Last number dialed) feature
automatically redials the last extension or outside
number you dialed.
To redial the last number that you dialed
Press Redial button.
Conference
The conference feature allows you to conference up
to six parties (including yourself) on a call.
Setting up a conference call
From the Phone Screen, select your active call.
Press Conf.
Dial the telephone number
Press Join to add the person to the existing call.
Adding a person on hold to a conference call
From the phone screen, select your active call.
Press Conf.
Select the call on hold that you want to add to the
conference.
Press Resume to take the call off hold
Press Join to add the person to the conference call.
Dropping the last person added to a
conference call
While active on a conference call, press
The Drop button.
Speaker Phone
The two-way built-in speakerphone allows you to
make and answer calls without lifting your handset.
Keep in mind that two-way speaker phones may not
operate satisfactorily in every environment (such as
in very noisy locations).
To make or answer a call without lifting the
handset, or to us the speaker phone with any
feature.
Press Speaker
Make or answer the call, or access the selected feature.
Adjust speaker phone volume if necessary, to raise the
volume, press the volume control button to
lower the volume, press the volume control button

To change from the speakerphone to the handset
Pick up the handset and talk
To change from the handset to the speakerphone
Press Speaker

To end a Speaker phone call

Using the call log
You can use the Call Log to view a list of your
missed calls, or separate lists of your answered,
outgoing, or missed calls.
When you have one or more missed calls, the call log
button lights and missed calls icon and the number of
missed calls displays on the top line.
Viewing the call log
Press Call Log.
Scroll to the right or left to view separate lists of your
answered, outgoing, or missed calls lists.
Removing an entry from the call log
Press Call Log
Select the number you want to delete
Press More > Delete
Press Delete again to confirm, or press Cancel if you do
not want to delete it.
Clearing all entries from the call log
Clearing all entries from a call log deletes all of the entries.
Press Call Log.
Select the list you want to delete.
Press More>Clear All to delete all of the entries in the
list you are viewing.
Press Clear All again or OK to confirm.
Call Pick up
When you hear another extension ringing which is belongs
to same Pickup group, press call pickup on your phone
screen.
Hold
Press Phone to view the main phone screen, if necessary.
Select the line you want to put on hold
Press Hold
Press resume to retrieve the call
Calling a person from the corporate directory
The Directory feature allows you to dial other users in your
system by name.
1. Press the Directory feature button.
2. Use the dial pad keys to start spelling the last name of
the person you want to call.
Note:
Press each dial pad key one time for each corresponding
letter. For example, for
“Hill,” press 4, 4, 5, 5.
3. Press the Next feature button to view the next name
alphabetically in the directory,
if necessary.
4. Press the Make Call/Call-display feature button when
you see the name you want.
5. To exit the Directory, press the Phone/Exit button or
the Exit soft key.
Avaya Menu
You can use the Avaya Menu to adjust and customize
phone settings, configure call logging, select
the display language, view network settings, and log out.
The Avaya Menu has six sub-menus:
• Screen/Sound—lets you adjust the display brightness and
contrast, select your ringing
pattern, turn button click sounds on and off, and turn error
tones on and off.
• Call Settings—lets you turn the call timer display, visual
alerting, and show incoming calls
on or off; set the redial option; and set the audio path to
speakerphone or headset.
• Applications—lets you turn call logging on and off as well
as turn logging of bridged calls,
line calls, and line calls answered by others on and off.
• Advanced Options—lets you select the display language;
set automatic gain control on the
handset, headset, and speaker; or initiate a manual
backup/restore if you have a backup/
restore file server. See your system administrator for more
information.
• Network Information—shows a summary of network-
related parameters for your phone,
such as IP parameters and Quality of Service.
• Log Out—lets you log out of your telephone to prevent
unauthorized use during your
absence.
Auto – Call Back
When your calling any extension, if that user is busy or not
answered, press the Auto-call back feature.
Once that user is available, system will automatically dials
both the users and connect the call.
Forwarding a call
1. Press the CFrwd feature button.
You hear a dial tone prompting you to dial the forwarding
number.
2. Dial the number you want to forward your calls to.
After you dial the number, you hear a confirmation tone.
3. To turn call forwarding off, press the CFrwd feature
button.
