o 1) Highlights:
o More productive calls: Polycom’s Acoustic Clarity Technology allows
simultaneous, natural, free-flowing conversation.
o Hear and be heard clearly: Speak up to 10 feet from a microphone and be heard
clearly on far end of the call; provides remarkable room coverage.
o Reduce echo & background noise: Gated microphone nearly eliminate echo and
distracting room noise.
o Backlit display provides ease of use: LCD makes menu navigation easy.
o 2) Answer Call:
o Answer Call: Press key to answer call or Answer soft key.
o Disconnect Call: Press key or EndCall soft key.
o 3) Make Outbound Call:
o Press key & dial the number, or
o Dial the number first & then press key or Dial soft key.
o 4) LED Indicators:
The LED’s (located at the top of the phone) indicate current status of the call.
o Green: Call in progress.
o Flashing Green: Incoming Call.
o Blinking Green: Call on hold by another party.
o Red: Call muted.
o Flashing Red: Indicates Voicemail.
o Blinking Red: Call on hold by User.
o 5) Microphone Mute:
o During a call, press key. If using external microphones, press key
on microphones. User can hear all other parties while Mute enabled.
o Turn off Mute: Press key again.
o 6) Call Hold & Resume:
o During a call, press Hold soft key.
o Press Resume soft key to resume call.

o 7) Call Transfer:
o Consultative Call:
- During a call, press Transfer soft key (active call placed on hold).
- Dial 4-digit ext. or 10-digit phone number of desired party for the transfer.
- After announcing caller to second party, press Transfer soft key to complete
transfer.
o Blind Transfer: Press Blind soft key to transfer call without speaking to second
party.
o Cancel Transfer: Press Cancel soft key; original call is resumed.
o 8) Call Forwarding:
o Activate Call Forwarding:
- Press Forward soft key from phone’s idle display OR press key,
Features & then Forward. Enter 10-digit number. Press Enable soft key to
confirm & enable Call Forwarding. Confirmation that Call Forwarding is
enabled for that line is indicated by a moving arrow icon.
o Deactivate Call Forwarding:
- Press Forward soft key (from phone’s idle display) OR press the key,
select Features & then Forward. Press Disable soft key.
o Call Forwarding is only available on a Stand-Alone IP 4000, not a shared line!
o 9) Conference Calls (3-Way Call):

o Split Soft Key: Places both parties on HOLD; Scroll up or down to talk to one
party by pressing Resume soft key, while other party remains on Hold. Simply
press Join when ready to resume 3-way Conference Call (with both parties).
o Press the key to hang up Conference Call; both calls will drop.
o 10) Do Not Disturb:
o Press key, Features & then press key to toggle Do Not Disturb On
or Off; flashing icon & text on display will confirm Do Not Disturb is enabled.

o 11) Call Lists:
o Press key, followed by Features & then Call Lists. Simply select Missed,
Received, or Placed Calls, as desired. Information displayed for respective calls.
o From this screen, choose appropriate soft key:
1. Edit: To amend Contact Number before dialing.
2. Dial: To place call.
3. Info: To view detailed call information.
4. Save: To store contact number to Contact Directory.
5. Clear: To delete call from list; press key to return to idle display.
o 12) Voicemail:
o To Listen to Voice Messages: Press the key, select Features & then
Messages. Follow voice prompts to listen to Messages.
o 13) Contact Directory:
o Add Contact: Press key. Select Features & then Contact Directory.
o Press More soft key, then Add to enter a contact in the phone’s Directory.
o Enter first and/or last name from the dial pad. Press 1/A/a soft key to select
numeric or upper/lower case alphanumeric modes.
o Enter Contact’s phone number (if not already in Directory).
o Change Speed Dial Index, if desired.
Note: Next available index value will automatically be assigned.
o Modify remainder of the fields (Ring Type, etc.) if desired or applicable.
o Press Save soft key to confirm or Cancel to abandon changes. Then press
key to return to idle display.
o Search for a Contact:
o Press key. Select Features, and then Contact Directory.
o Select Search from Contact Directory menu.
o Using dial pad, enter first few characters for First or Last name.
o Press Search soft key to search for contacts. Dial successful matches from
resulting search screen.
TIP: To quickly view Missed Call list from idle display, press key.

o 14) Contact Directory: Edit a Contact
o Press the key. Select Features, and then Contact Directory.
o Select Search & enter first few letters of First or Last Name. Then, select
Search. Press Edit soft key & make necessary changes.
o Press Save soft key to confirm OR Cancel to abandon changes, then press
key to return to idle display.
o 15) Volume Adjustment:
o Press volume keys to adjust speaker volume during a call. Press these keys
in idle state to adjust ringer volume.
o 16) Ring Type:
o Modify Incoming Ring:
Press key. Select Settings, Basic, and then Ring Type.
Using or keys, highlight desired Ring Type.
Press key to modify & save selected Ring Type.
Press key to return to idle display.
