Welcome to the FileMaker
®
Pro Server application from Claris Corporation.
FileMaker Pro Server gives you enhanced file sharing capabilities on your
network when used in conjunction with the FileMaker Pro 3.0 database
management application, also from Claris.
Introducing FileMaker Pro Server
You’ve always been able to share database files in FileMaker Pro using a
peer-to-peer sharing scheme with the
Multi-User
command. Now you can use
the FileMaker Pro Server application as a
dedicated host
to open
FileMaker Pro files and make them available to FileMaker Pro 3.0 guests on
your network. FileMaker Pro Server acts only as a host, and uses advanced
client/server technology to take care of much of the background work
associated with managing files, thereby enhancing performance for
FileMaker Pro guests accessing those files.
FileMaker Pro Server also increases the number of simultaneous
FileMaker Pro guests that can access a database file over a network from 25
to 100. See appendix A, “Technical specifications and optimization,” for
more information.
Note
This guide assumes you’re familiar with general database concepts as
well as the basics of FileMaker Pro. If you’re not, refer to the
FileMaker Pro
User’s Guide
, especially the first two chapters, for more information.
How does FileMaker Pro Server work?
The FileMaker Pro Server application is a tool to use with FileMaker Pro 3.0
in a network environment to:

increase the number of files that can be hosted on FileMaker Pro network

FileMaker Pro Server acts only as a dedicated host to the FileMaker Pro
files; you can’t see or modify data in these files with FileMaker Pro Server.
Use FileMaker Pro Server to:

open—or
host
—a FileMaker Pro database file, making it available to
FileMaker Pro guests on the network

view information
about
the files being hosted, like the number of users
accessing each database

send messages to guests of hosted files

When you start the FileMaker Pro Server application, it automatically opens
and hosts all multiuser FileMaker Pro files located in the same folder as (or
the first level of subfolders of) the application, up to a maximum of 100 files.
This lets you easily set up the database files that you always want
FileMaker Pro Server to host on the network.
Keep in mind the following points about the different uses of FileMaker Pro
Server and FileMaker Pro:

Use FileMaker Pro Server to open and host FileMaker Pro files that you
want to make available to FileMaker Pro guests on your network.

As a dedicated host, FileMaker Pro Server
only
hosts the files.
FileMaker Pro Server can’t access or modify the information in the files.
Use FileMaker Pro as a guest to work with the information in the files.

Use FileMaker Pro to create database files or modify the structure of
existing files (for example, field definitions and access privileges). Most
other database design tasks (like creating and modifying layouts, editing
data, and adding and deleting records) can be done by a guest of
FileMaker Pro Server.

Chapter 1: Installing FileMaker Pro Server
This chapter gives step-by-step instructions for installing the FileMaker Pro
Server application and associated files on your Mac
OS computer.
Note These instructions assume you’re familiar with standard mouse
techniques like clicking and dragging. If you need more information about
mouse techniques or working with disks, see the documentation that came
with your computer.
What’s in the FileMaker Pro Server Package
The FileMaker Pro Server package includes:

application. Allow 1200K to install the application and all related files
(what’s installed if you do the “Easy installation” on page 1-5). Also
allocate disk space for database files, which should be located on the same
disk as the FileMaker Pro Server application.
FileMaker Pro Server is designed to run by itself on a dedicated computer—
a computer where no other applications are normally running. Avoid
installing FileMaker Pro Server on a computer that is a user’s primary
workstation. When FileMaker Pro Server is hosting many guests or a large
number of database files, it uses a high level of processor and network
capacity. Other processor-intensive applications or heavy network traffic on
the same computer may cause FileMaker Pro Server to run more slowly and
degrade the performance of FileMaker Pro on guest computers.
Important FileMaker Pro Server can open and host only FileMaker Pro 3.0
(or later) files. For information on converting files, see “Converting files
from earlier versions of FileMaker Pro” on page 2-3. For details about using
FileMaker Pro 3.0 to open files hosted by FileMaker Pro Server, see
FileMaker Pro User’s Guide.
Networking requirements
To share files among users on a network, you can use AppleTalk, Novell
MacIPX, or TCP/IP networking. At this time, FileMaker Pro Server only
runs on Mac OS, but you can use FileMaker Pro for Windows to access files
hosted by FileMaker Pro Server.
Guests can use the following network protocols to access database files

Before you begin
Before you begin the installation process, make a backup copy and register
your new software.
Make a backup copy
To protect your software, lock your FileMaker Pro Server disk and make a
backup copy of the disk before you start the installation procedure. If you
need information on locking and copying disks, see the documentation that
came with your computer.
After you make a backup copy, store the original disk in a safe place. Lock
the copy and use it for installation and everyday work.
Important When you name the backup disk, give the blank disk the same
name as the disk you’re copying, for example, Disk 1. The Installer won’t
recognize the disk if its name is different from the original. Be sure you
haven’t created an extra folder named Disk 1 on the backup disk. (This
happens when you drag the disk image onto the backup disk to make the
copy.) If you have a folder named Disk 1 on your backup disk, drag
everything out of this folder onto the disk’s window and then throw away the
empty Disk 1 folder.
Register with Claris
Take a minute to complete and mail the postage-paid product registration
card for your new software, or call (800) 356-6657 to register by phone.
Keep the part of the card with your serial number on it in a safe place.

Installing FileMaker Pro Server
Use the Installer to install the complete FileMaker Pro Server package on
your hard disk. The Installer creates a folder called FileMaker Pro Server 3.0
Folder. To host database files located in a folder from a previous version of
FileMaker Pro Server, move them into the FileMaker Pro Server 3.0 Folder.
The following table shows the files and folders you can install and the best
location for them on your hard disk.

Keep these points in mind:
1 The Thread Manager system extension, which is included on your
FileMaker Pro Server disk, must be installed in the Extensions folder
within the System Folder on your startup disk if you are using System 7.1
or System 7 Pro. If your computer is running System 7.5 or later, the
Installer doesn’t install Thread Manager because its functionality is
included with the system software.
1 If you install onto a disk that isn’t your startup disk, the Installer puts the
Thread Manager and the MacIPX files in their preferred locations in the
System Folder of the startup disk.
Easy installation
To install FileMaker Pro Server on your hard disk:
1. Disable system extensions—especially virus protection software—and
file sharing.
A quick way to disable system extensions is to restart your computer
while holding down the Shift key.
2. Insert the Disk 1 backup disk into the floppy disk drive to install
the application.
Lock your original FileMaker Pro Server disk and keep it in a safe place.
See “Make a backup copy” on page 1-3 for more information.
You see the Disk 1 window on your screen. If you see only the Disk 1 disk
icon, double-click the icon to open its window.
3. Double-click the Installer icon to start the Installer.
4. Click Continue to dismiss the Installer welcome screen.

5. Leave Easy Install selected.
For information about Custom Install or Custom Remove, see “Custom
installation” on page 1-7 and “Removing the software” on page 1-12.
6. To install the application onto a different disk or into a different folder
from the one shown, click
Select Folder.
In the dialog box that appears, use the Select button to choose a destination
disk and folder. If you switch to a disk that isn’t a hard disk or is locked,
the Select button is dimmed.
7. Click Install.
If the selected drive doesn’t have enough space, you see a message, and
the installation is halted.
If the selected disk has enough space, the Installer begins copying files. A
dialog box tells you what the Installer is doing. After all the files are
installed, a final dialog box tells you the installation was successful.
Because the installation places new software in your System Folder, you
must restart your computer to use the new software.
8. Click Restart to leave the Installer and restart your computer.
9. If you turned off virus protection and file sharing before installing,
remember to turn them back on now.

starting the application.
Custom installation
To install a subset of the FileMaker Pro Server files:
1. Follow steps 1 through 4 in the previous section.
2. Choose Custom Install from the pop-up menu in the top-left corner of the
Install dialog box.

3. Click the checkboxes to select (or deselect) components for installation.
Click the information button next to the selected component to see more
information about the feature.
Note The use of MacIPX networking with FileMaker Pro Server is
optional. If your network only needs to support guests using AppleTalk or
TCP/IP, deselect the MacIPX components before clicking Install.
4. To install the application onto a different disk or into a different folder
from the one shown, click Select Folder.
In the dialog box that appears, use the Select button to choose a destination
disk and folder. If you switch to a disk that isn’t a hard disk or is locked,
the
Select button is dimmed.
5. Click Install.
If the selected disk doesn’t have enough space, you see a message, and the
installation is halted.

Configuring the MacIPX control panel
The MacIPX control panel configures itself after you install it and restart
your computer. To change the MacIPX control panel to select a different
network interface or to change any MacIPX parameters, see appendix A,
“MacIPX control panel,” in FileMaker Pro Installation and New
Features Guide.
Using TCP/IP with FileMaker Pro Server
To use the TCP/IP protocol with FileMaker Pro Server, you must have
Open Transport 1.0.8 or later installed on your computer. Use the Open
Transport 1.1 disks included in the FileMaker Pro Server package to
install Open Transport. See the Open Transport documentation for
information on how to install Open Transport and configure TCP/IP.
Starting FileMaker Pro Server
Start FileMaker Pro Server by double-clicking its icon in the
FileMaker Pro Server 3.0 Folder, or by selecting the icon and choosing
Open from the File menu. You can also make an alias to have
FileMaker Pro Server start automatically each time you start your
computer. See the next section for more information.
See “Personalizing your copy of FileMaker Pro Server” on page 1-9 for
details on how to personalize the application the first time you start it.
Making an alias
Previous versions of FileMaker Pro Server automatically put an alias of the
application in the Startup Items folder of your System Folder. This caused
FileMaker Pro Server to start up whenever you started your computer.
Important Throw away any alias from a previous version of FileMaker Pro
Server in your Startup Items folder. To make an alias for FileMaker Pro
Server 3.0, use these steps.
1. In the Finder
, select the FileMaker Pro Server icon in the
FileMaker Pro Server 3.0 Folder.
2. Choose Make Alias from the File menu.
You see an alias of FileMaker Pro Server in the folder.
3. Copy or drag the alias into the Startup Items folder in your
System Folder.

Personalizing your copy of FileMaker Pro Server
The first time you start FileMaker Pro Server, you’re asked to supply your
name, company name (if applicable), and software registration number. The
information you type appears momentarily each time you start the application
and also in the dialog box you see when you choose About FileMaker Pro Server
from the Apple menu and then click Info.
To personalize your software:
1. If necessary, start FileMaker Pro Server.
See “Starting FileMaker Pro Server” on page 1-8.
You see the Personalize dialog box.
2. In the Name box, type your name, if necessary, and press Tab.
The insertion point moves to the next box.
3. Type your company name, if applicable, and press Tab.
If you don’t have a company name, you can put other information (like
your address) in the box, or leave it blank.
4. Type the serial number from your FileMaker Pro Server registration card.
The serial number is optional, but Claris recommends typing it here in
case you lose your registration card. You need the serial number if you
call Claris Technical Support or Customer Assistance.
Check your typing carefully. You can’t change the name, company, or
serial number after you click OK, unless you reinstall FileMaker Pro Server.

Adjusting memory
Your computer sets aside a certain amount of memory for each application.
When you start FileMaker Pro Server, it tells the computer how much
memory it needs.
You can increase the amount of memory (RAM) set aside for
FileMaker Pro Server if you want to host large database files or a large
number of files. For more information on managing memory, see the
documentation that came with your computer.
Changing the amount of memory used
To change the amount of memory reserved for FileMaker Pro Server,
keep these points in mind:
1 FileMaker Pro Server comes configured to run on a computer with
8 MB of memory (RAM). This configuration supports the default
maximum number of guests (25) and files (50). Increasing this amount
can speed up overall performance, especially if you are working with
large files or a large number of guests or files.
1 The amount of memory you give to other applications affects the
performance of FileMaker Pro Server. By not running other applications,
you can assign all available memory to FileMaker Pro Server.
1 Avoid specifying less memory than the Suggested size in the
FileMaker Pro Server Info dialog box.
See appendix A, “Technical specifications and optimization,” for more
information about memory requirements for different scenarios using
FileMaker Pro Server.
To change the amount of memory FileMaker Pro Server uses:
1. If FileMaker Pro Server is open, close the application by choosing Quit
from the File menu.
2. In the Finder, open the FileMaker Pro Server 3.0 Folder and select the
FileMaker Pro Server application icon.

3. Choose Get Info from the File menu.
You see the FileMaker Pro Server Info window.
4. In the Memory Requirements area at the bottom of the window,
double-click the number labeled
Preferred size and type a number to change
the memory allocated for FileMaker Pro Server.
Your FileMaker Pro Server Info box may look different depending on the
version of the system software you’re using. The number you need to
change might be labeled Current size.
5. Click the close box.
The next time you start FileMaker Pro Server, the amount of memory you
specified is used by the application.
Note Because FileMaker Pro Server and the virtual memory option
available with System 7 both use your hard disk to transparently store
temporary information, they don’t work well together. Using virtual memory
can slow down FileMaker Pro Server, so avoid using the virtual memory
option or any third party virtual memory utility with the application. (See the
documentation that came with your computer for more information about the
virtual memory option.)

Removing the software
You can use the Installer application to remove the FileMaker Pro Server
files from your hard disk. No database files or folders (like the
FileMaker Pro Server 3.0 Folder) are removed. You can delete any empty
folders that remain after removing FileMaker Pro Server.
To remove FileMaker Pro Server:
1. Disable system extensions—especially virus protection software—and
file sharing.
A quick way to disable system extensions is to restart your computer
while holding down the Shift key.
2. Insert the backup disk into the floppy disk drive of your computer and
double-click the Installer icon.
3. Click Continue to dismiss the Installer welcome screen.
4. In the Installer dialog box, select Custom Remove from the pop-up menu in
the top-left corner of the dialog box.
The dialog box lists the files you can remove.
5. Click the checkbox next to the components you want to remove.
Click the information button next to the selected filename to see
information about your selection.
6. Be sure the folder designated in the lower left of the dialog box is the
folder where the software is located.
If you need to, click Select Folder and choose a different disk or folder.
7. Click Remove.
The Installer begins removing files. After all the files are removed, a final
dialog box tells you the removal was successful. If you remove MacIPX
or the Thread Manager from your System Folder, you must also restart
your computer.
8. Click Quit or Restart to leave the Installer and restart your computer, if
necessary.
9. If you turned off virus protection and file sharing before installing,
remember to turn them back on now.

Chapter 2: Using FileMaker Pro Server
Use FileMaker Pro Server as a tool to host FileMaker Pro 3.0 database files for
access by FileMaker Pro users on your network. FileMaker Pro Server by
itself doesn’t let you see or modify information in these hosted FileMaker Pro
files. You can:
1 open—or host—a FileMaker Pro database file, making it available to
FileMaker Pro guests on the network
1 view statistical information about the files that FileMaker Pro Server is
hosting, like the number of guests accessing each database file or the
number of files being hosted
1 send messages to guests of hosted files
1 close a hosted FileMaker Pro file, making it unavailable to
FileMaker Pro guests
1 disconnect a selected FileMaker Pro guest from a particular hosted file or
all hosted files
Hosting files
The FileMaker Pro Server application opens FileMaker Pro files for access
by FileMaker Pro guests on the network.
Remember that double-clicking a FileMaker Pro file opens that file in
FileMaker Pro, not FileMaker Pro Server. Use the techniques described in
this chapter to open files with FileMaker Pro Server.
Starting the application and opening files
When you start FileMaker Pro Server, the application automatically opens
all multiuser FileMaker Pro 3.0 files or aliases located in the FileMaker Pro
Server 3.0 Folder (or in enclosed folders one level down). Up to a maximum
of 100 files can be made accessible to FileMaker Pro 3.0 guests on the
network. Each FileMaker Pro guest may open up to 50 files at a time, as long
as the combined number of open files doesn’t exceed 100.
Use one of four ways to have FileMaker Pro Server open FileMaker Pro files:
1 If FileMaker Pro Server isn’t already running, double-click the
FileMaker Pro Server application icon to start the application. See the
next section for details.
