Smart Connection turns Adobe InDesign and
InCopy into a powerful and flexible integrated
production system. The Smart Connection family
of products is a scalable editorial solution aimed at
publishing environments.
Scalable solution
The Smart Connection (SC) family has two
members: Smart Connection Pro (SCPro) and Smart
Connection Enterprise (SCE). SCPro utilizes a file/
folder based systems while the Enterprise product
is a three-tier open-source database system. No
matter the workgroup size or complexity, there is
a SC solution for you.
Smart Connection Benefits
The benefits of SC are its combination of
workflow flexibility with the ability to uphold rigid
management, organization and document security
standards.
SC is used by newspapers, magazines, in-house
production teams, and large multi-national
advertising agencies all over the world. It is even
used to publish manuals and books by some of the
largest software developers and book publishers
in the world.
Efficient layout and editing
In order to increase the efficiency of the publishing
workflow, the SC family turns InDesign and InCopy
into a powerful integrated, flexible production
system.
Security first
To allow editors and designers to work
simultaneously on the same project is not without
risks. Documents could be edited by any number
of users at the same time. Stories could be deleted
in InDesign while an editor is writing it, or the
editor could place a story in the wrong InDesign
file. Both SCPro and SCE come with the necessary
security features that prevent such errors from
occurring.
Open system
The SC family offers an inexpensive and highly
efficient workflow system. SCE has an open-
source server, making it possible to improve and
enhance this product without spending months
– or even years – revising the software. And, the
three-tier architecture allows for easy upgrades
without having to take down the system.
Web Overview module
The Web Overview module offers a complete
overview of your publication from any intranet or
even extranet web browser. With SCE, users can
browse and query the database from any web
browser and upload files from any web browser.
Remote management
The Remote module optimizes external access for
your publishing workflow. Editors can create an
InCopy document that contains all the information
needed to write to fit, including a preview of the
page. The module then packages the file into one
small XML file. This makes it easier for writers
and editors to work remotely in InCopy without
being linked to the significantly larger InDesign
document.
Adding Power to InCopy
The optional InCopy Frames module allows editors
to make changes to the frame size, either by a line
basis or by entering an exact dimension in the
toolbar. In InDesign, Frames allows designers to
apply the changes and frame modifications made
in InCopy when the story is refreshed.
Protecting investments
Because SC can be integrated with a wide variety
of systems, it enables the user to benefit from the
ease-of-use and productivity features no matter
the vertical market in which he works or the
system installed.

Smart Connection Pro 4: enabling an efficient workflow
Smart Connection Pro builds on InDesign and InCopy’s
power by expanding the feature-set with those features
that are needed to manage publications in medium to
large workgroups with up to 30 users.
Flexible publishing structure
Smart Connection Pro has an easy to use interface. While
still using a generic file-server, it organizes files with a more
database-oriented approach. It uses concepts that you’re
familiar with like publication, issue, section, and basket.
You can set up a publication structure according to the
guidelines and needs of your company or organization
even using your own terminology.
Separating design from content
With its check-in, check-out features, Smart Connection
Pro effectively separates the work of the designer from
that of the editor.
By doing so, Smart Connection Pro enables a simultaneous
workflow. An InDesign user can’t change the text of a
document when an editor is working on it in InCopy. Text
that is sent to InCopy can’t be modified in InDesign for as
long as it is checked out. In fact, as long as text is in use by
an editor, the only thing an InDesign user can do, is change
the design of the frames that will hold the locked text. An
editor can’t change design elements in InCopy because the
designer is in charge of the InDesign document. Messing
up publications has become virtually impossible.
File Previews
Smart Connection Pro’s preview panel shows you a preview
of your stories or images. This lets you efficiently select
the right files, eliminating the need to undo accidental
placements, saving your valuable time.
Flexible and powerful workflow features
A basket-oriented approach allows editors and designers
to identify steps in the workflow. For example, when
copy is ready to be corrected, you can send your text to
a basket you define as “Revision round.” In fact, this is
an automated communication paradigm, and is one way
that of Smart Connection Pro prevents errors during the
production process. Another example is, editors and
designers can send each other short instant messages or
add annotation notes to a text element.
The Smart Connection Pro “Send to Next” button available
in InCopy allows editors to automatically send text to the
next basket in the workflow you have set up.
Easy to use non-distracting interface
The Smart Connection Pro panel automatically updates its
status icons as copy and design status of a document or
an article changes.
The Smart Connection Pro panel can be configured to
show just the information you need at any moment. This
prevents editors from being distracted from their work by
interface elements that change, yet are irrelevant to their
work.
Publication hierarchies
With its configuration tool, Smart Connection Pro allows
you to tailor the levels of hierarchy to work intuitively with
your workflow. Stages of the workflow can be renamed as
needed and as a project evolves.
Flexible file content
With Smart Connection Pro you’re freed from the “one
file per document” straightjacket. Instead, you can have
as many or as few text elements per file as you want or
need. Smart Connection Pro allows you to have one file
per article, per spread or per publication. For example,
to accommodate flexibility in your newspaper or statutes
in a legislatory publication, you might opt for a file per
article approach. On the other hand, if you’re publishing a
manual, one file per chapter might be the way to go. The
possibilities are virtually endless.
Smart Connection Enterprise: serving complex environments
Complex production environments sometimes need more
flexibility and power than a computer’s file system can
offer. When large workgroups are involved, a database-
driven production system is necessary. For workgroup
environments where access and user rights management
are needed or complex queries must be used, WoodWing
has developed the Enterprise edition.
While Smart Connection Enterprise is just as easy to use
as its sibling Pro, Enterprise is fully tailored to meet the
requirements of large workgroups and complex workflows.
Three-tier architecture
Smart Connection Enterprise relies on a three-tier architecture
to ensure scalability and flexibility. All business logic is
centralized on the application server. The database ensures
document security, rapid document search-and-retrieval
and all the advantages related to database use. The client is
a traditional InDesign/InCopy setup with all the benefits of
the Smart Connection Pro, yet it also supports Photoshop
and Word.
Customization power
Because all business logic is centralized on the application
server, Smart Connection Enterprise can be easily updated
and customized. Scalability is guaranteed because the
application server can run on the database server, on
one separate server or even on multiple servers if the
environment is too large to handle only one server.
Protecting your investment
Smart Connection Enterprise offers a free choice of
databases. You can opt for the high-performance open
source MySQL database on Windows and Mac OS X and
Microsoft SQL server on Windows or even Oracle and
Sybase. Smart Connection Enterprise comes with support
for Apache or Microsoft IIS web server. Third-parties also
offer Enterprise integrated solutions for a variety of content
management systems.
The power of databases
In addition to scalability, Smart Connection Enterprise adds
the power of database queries to Smart Connection Pro’s
production capabilities. Queries are easy to use, and offer
many different search options. Finding just the right files is
not only simple, but also blazingly fast.
Document Information
While Smart Connection Pro supports basic meta data
for each file, Smart Connection Enterprise goes further
with and supports XMP, IPTC and EXIF with the ability to
create customized meta data and even customized dialogs
for check-in, etc. There is no need to customize meta data
Enterprise already supports a very complete set including
information on the author, creator, modifier, copyright,
creation and modification date, comments and much more.
Access rights management
With Smart Connection Enterprise, you can define users,
groups and access rights. For each group, you can set
detailed access rights for maximum security which can
differ per publication, section and even object state. And,
you can specify publication administrator with access
rights per publication. This frees IT people from business
specific administration tasks like workflow definition which
can now easily be done by the publication administrator.
Remotely managing your production system
Web-based tools enable users to get an overview of all
files in the database, including their status and meta data.
Smart Connection Enterprise also allows you to configure
the system by using a web-browser from any location in
the world.
Publication Overview will change the way you work. It
offers a complete overview of your publication from any
intranet or even extranet web browser. The Managing
Editor can see the publication in progress without the need
for printing everything out again and again.
Integrate
Smart Connection Enterprise (SCE) has the power to
integrate with a variety of software.
Photoshop is seamlessly integrated into SCE. Directly
save and open files with full query and meta data
support
Word files are now seemlessly integrated with SCE
Web-editor allows editors and writers to submit articles
directly into SCE while on the road
Smart Browser integrates with third party applications
like Word and Photoshop for uploading files with full
query and meta data support in a native Mac/Win
application
Smart Mover is an integrated workflow and file
manipulation tool that allows users to create an
unlimited number of processes
Smart Wire will capture wire service feeds, create
InCopy documents and store them into the workflow
Control
Management Information via SCE’s reporting functionality
returns lists or graphs to accurately show the progress of
the workflow. And, database views update in real-time
showing you true up-to-date information. Done with
Push/Broadcast technology this is fully scalable unlike the
commonly used poll technology.
